Frequently Asked Questions About Virtual Assistants
Everything you need to know about hiring, working with, and getting the most out of a managed virtual assistant.
General Questions
What is a virtual assistant?
A virtual assistant is a remote professional who provides administrative, technical, or specialized support to businesses. Unlike in-house employees, VAs work remotely and can be located anywhere in the world. At HireTrainVA, every VA comes with full managed HR support.
What does a virtual assistant do?
Virtual assistants handle a wide range of tasks depending on their role and specialization. Common tasks include email management, scheduling, data entry, bookkeeping, customer support, social media management, cold calling, and project coordination. Our VAs specialize in specific roles — see our services page for the full list.
How is HireTrainVA different from other VA companies?
Most VA companies are placement agencies — they find you a person and walk away. HireTrainVA is a managed service. We personality-profile and match your VA to your work style, then provide ongoing HR support: tools (including AI tools and custom training), payroll, performance management, and replacement. We're your fractional HR department for your virtual assistant.
Is hiring a virtual assistant worth it?
For most business owners, yes. A VA can save you 10–20+ hours per week on tasks that don't require your direct attention. With a managed service like HireTrainVA, you also eliminate the HR overhead of managing a remote team member. The result is more time for revenue-generating activities and strategic work.
About Our Service
What's included in a managed plan?
Every managed plan includes: global talent recruitment, personality profiling, VA matching, tools and resources (time tracking, password manager, AI tools, and more), payroll processing, ongoing training, performance support, and VA replacement. The difference between Junior, Mid, and Senior plans is the experience level and capability of the VA.
What are the Junior, Mid, and Senior levels?
Junior VAs are ideal for task-based, process-driven roles with defined workflows. Mid-level VAs bring deeper expertise and can work more independently. Senior VAs are seasoned professionals for high-impact roles requiring judgment and complex decision-making.
How much does a virtual assistant cost?
Pricing depends on the role, experience level, and scope of work. We offer three managed plan levels (Junior, Mid, Senior) to fit different needs and budgets. Book a free strategy call to get a personalized recommendation and pricing.
Do you require long-term contracts?
Contact us during your strategy call to discuss terms. We want to make sure the arrangement works for both sides.
The Hiring Process
How long does it take to get a VA?
From your strategy call to your VA starting work, the typical timeline is 1–2 weeks. Complex or senior-level roles may take slightly longer to ensure the right match.
Where are your VAs located?
We recruit globally, selecting the best talent regardless of location. Every candidate goes through rigorous vetting including skills assessments, background checks, personality profiling, and psychological evaluations — then we match them to your work style.
Can I interview the VA before hiring?
We present you with a matched candidate and you have the opportunity to meet them before confirming. If it's not the right fit, we continue searching.
What if the VA doesn't work out?
If performance issues arise, we work to resolve them. If you decide to go in a different direction, we handle the full replacement process as part of your managed plan.
Working With Your VA
How do I communicate with my VA?
You communicate directly with your VA using your preferred tools — Slack, email, Zoom, project management platforms, or whatever your team uses. We set up the communication framework during onboarding.
What hours does my VA work?
This is determined during the matching process based on your needs. VAs can work in your timezone, their timezone, or a combination that works for both parties.
Do I need to provide tools or software?
We provide the tools your VA needs — time tracking, password manager, AI tools, and custom training as required. You provide access to your business platforms (CRM, project management, email, etc.). We coordinate everything during onboarding.
How do I track my VA's time?
We set up time tracking for every VA as part of the managed plan. You'll have visibility into hours worked and how time is allocated.
What if I want to change my VA's role or add tasks?
Your VA's role can evolve as your business needs change. If the new tasks require different skills, we'll provide additional training. If it's a fundamentally different role, we can recruit a new VA while keeping your current one.
Can I hire more than one VA?
Yes. Many clients have multiple managed VAs across different roles. Each VA gets the same full managed support.
